Access design is the planning stage where Remotablix decides how remote access will work for your organization. It happens before anyone connects, and it is where the greatest share of value is created. Our engineers own this stage entirely.
Why design comes first
Access that grows organically becomes hard to explain and harder to defend. A boundary added in a hurry during a busy week is rarely revisited, and over a year or two the picture drifts away from what leadership believes is true. Access design resets that picture and then keeps it honest.
We start from how the work actually flows. A coordinator at a distribution office may need to see tomorrow's schedules but never today's payroll. An external adviser may need one shared folder for three months and nothing else. Design turns those observations into precise rules.
The four things we decide
Groups
Which sets of people share the same access needs, defined by role rather than by individual name.
Resources
Which systems and stores each group may reach, with the sensitive ones named explicitly.
Conditions
The circumstances in which a session is allowed, including additional checks for sensitive resources.
Reviews
How often we revisit the model, who confirms it, and what triggers an out-of-cycle review.
Least privilege, in plain terms
Least privilege means each person reaches only what their work requires, for only as long as it is required. It sounds severe, but in practice it makes daily work simpler: fewer places to look, fewer boundaries to remember and less to correct when someone changes role. Our design translates the principle into specific, reviewable rules.
A worked example
Imagine a sixty-person services firm. The design might create five groups: leadership, customer teams, finance, operations and external advisers. Customer teams reach matter folders for their own matters only. Finance reaches billing systems but not customer matters. External advisers reach a single shared area, with an expiry date attached at the outset.
The result is legible on one page and easy to maintain. When a new person joins, we place them in the right group and the rest follows.
Changing the design later
Access design is not a one-time document. When your organization changes — a new office, a new service line, a new supplier relationship — we revise the model with you and record why the change was made. That history is what makes the access picture defensible years later.
Keeping the design readable
A design that no one reads is a design that no one follows. We keep each document short enough to review in a single sitting, and we avoid shorthand that only an engineer would recognize. Where a rule needs explanation, we add a short note in plain English so that a manager, an auditor or a new joiner can follow the reasoning.
