Audit records you can hand to any reviewer
Good records turn a good service into a defensible one. Remotablix keeps access records, change notes and session summaries in an orderly form, so that any reviewer's question can be answered with a document rather than a memory.
What we keep
Access records
The current picture of who is in which group and which resources each group may reach.
Change notes
Why a boundary moved, when it moved and who approved the change, written at the time it happened.
Session summaries
A short account of each assisted support interaction, including the resolution and any design adjustment.
Review reports
A periodic summary of the whole access picture, written for leadership, insurers and reviewers alike.
Written for the person who has to read it
Records are only useful if the reader understands them. We write in business language, avoid unexplained shorthand, and structure each summary so that the key facts sit at the top. A busy executive can grasp the position in a minute; a thorough reviewer can follow the detail underneath.
During an inspection
When an examiner, insurer or accreditation body asks how remote access is managed, we produce the records that answer the question. Because the history was written as events happened, the response is a matter of retrieval rather than reconstruction.
We are happy to shape a summary to the format a particular reviewer prefers. A short conversation is usually enough to align the presentation.
How long we keep things
Access records are retained for the period agreed in your engagement, and generally for the duration of the service plus a reasonable period afterwards so that questions raised at the end of a relationship can still be answered. Personal information within those records is limited to what the service requires and is handled in line with our privacy policy.
| Record type | Typical retention | Who can request it |
|---|---|---|
| Access records | Service period plus 24 months | Named customer contacts |
| Change notes | Service period plus 24 months | Named customer contacts |
| Session summaries | Service period plus 12 months | Named customer contacts |
Retention windows are agreed at scoping and reflected in your service agreement. Figures above are our standard practice.
Why we write records as we go
A note written weeks later is a reconstruction, and reconstructions drift toward whatever the writer believes should have happened. By writing change notes and session summaries at the moment of the event, we keep the record faithful to what actually occurred. That discipline is what lets a reviewer trust the document, and it is what lets your leadership speak with confidence about remote access during a difficult week.
Getting a record
Named contacts at your organization can request any record through the coordinator desk. We respond within one business day, and where a request is unusual we agree the scope before producing anything. All record keeping is performed by Remotablix as part of the monthly service.
Requests from people outside your list of named contacts are referred back to you for confirmation, so that records are only ever handed to someone your organization has authorized to receive them.
